Is Your Nonprofit Grant Ready? 8 Things Funders Check
Before you write a single application, funders check these 8 things. A fundraising consultant's grant readiness checklist for small nonprofits.
Here’s a hard truth from 9 years inside nonprofit fundraising: most rejected grant applications weren’t rejected for bad writing. They were rejected because the organization wasn’t grant ready — and the funder could tell by page two.
The good news: grant readiness is a checklist, not a mystery. Here’s what funders are checking, roughly in order.
The eight checks

501(c)(3) status and clean registrations. Table stakes. If your state charity registration has lapsed, fix it before you apply for anything.

A mission statement that actually filters decisions. Funders read your mission first and your budget second. If the mission is vague, everything after it reads as unfocused.

A real program, described as outcomes. “We run weekly workshops” is an activity. “Participants gain X, measured by Y” is an outcome. Funders buy outcomes.

A budget that matches the story. The single fastest credibility killer is a narrative and a budget that disagree — a program described as your centerpiece that’s 4% of spending, or vice versa.

Some evidence, any evidence. You don’t need a randomized controlled trial. You need honest numbers: people served, completion rates, one good survey, three strong testimonials with permission to use them.

Board engagement. Many funders ask what percentage of your board gives. The right answer is 100% — at any amount. If that question makes you wince, start there (board orientation is often the fix).

The capacity to actually do the thing. Funders fund organizations that can absorb the grant — deliver the program and file the reports. Be honest with yourself about staff time before you apply.

A track record of reporting well. Your final report on a $2,500 grant is your application for the $25,000 one. Reporting is fundraising.
What to do with this list
Score yourself honestly. Five or more solid? You’re ready to apply, and the writing becomes the multiplier. Fewer? A season spent on readiness will out-earn a season of scattershot applications — I’ve watched it happen repeatedly.
